Key takeaways
- A WhatsApp booking system for gyms, studios and padel clubs connects the official WhatsApp Business Platform to your live schedule, so customers can check availability, book, pay through a link and receive confirmations in one chat.
- The free WhatsApp Business app suits a small team replying by hand. Automation, approved templates, integrations and a shared team inbox at scale need the WhatsApp Business Platform (Cloud API).
- As of October 2026, Meta charges per delivered template message by category (marketing, utility, authentication). Replies inside the 24-hour customer service window are free, and so are utility templates sent inside that window.
- From 1 April 2026 Meta raised the marketing message rate for Saudi Arabia and added SAR as a billing currency, so promotional broadcasts deserve a budget and a clear purpose.
- You need opt-in before messaging anyone, and any automated assistant must offer a clear path to a human. An assistant is only useful if it reads real availability and prices from your booking system.
What is a WhatsApp booking system for gyms, studios and padel clubs?
A WhatsApp booking system for gyms, studios and padel clubs lets customers ask for a slot, book it, pay and receive confirmations and reminders inside a WhatsApp chat with your venue. It works by connecting the official WhatsApp Business Platform to the same calendar your front desk uses, so the chat sees the real courts, classes and coaches that are free right now.
In Saudi Arabia and across the Gulf, many customers already message venues on WhatsApp before they ever open a booking page. Without a system behind that number, staff copy details from chats into a calendar by hand, double bookings slip through and late-night messages wait until morning. A proper setup turns the chat into a booking channel that writes to the same schedule as your app and website.
- Booking: availability questions, booking a court or class spot, joining a waitlist.
- Payment: a secure payment link from a licensed gateway, sent inside the chat.
- Notifications: confirmations, reminders, cancellations and package or membership renewal notices.
- Support: answers about prices, opening hours and policies, with a handover to staff for anything unusual.
WhatsApp Business app or WhatsApp Business Platform: which does a venue need?
Meta offers two products under the WhatsApp Business name. The WhatsApp Business app is a free phone app with a business profile, quick replies and labels. It works well when one or two people answer messages by hand. The WhatsApp Business Platform, usually reached through the Cloud API and a software provider, is built for automation, approved message templates, integration with back-end systems and routing conversations to live agents when needed.
| Need | WhatsApp Business app | WhatsApp Business Platform (API) |
|---|---|---|
| Automatic confirmations and reminders | Manual sending only | Sent by your booking system using approved templates |
| Link to your live schedule | None, staff check the calendar themselves | Integrates with booking and CRM systems |
| Several staff on one number | Limited to a small number of linked devices | Team inbox through your provider, with routing |
| Messaging customers outside 24 hours | Ordinary messages from the phone | Approved templates only, charged per message |
| Cost | Free app | Meta’s per-message fees plus your provider’s fees |
On the Platform, your number belongs to a business portfolio in Meta’s business tools, with a display name that customers see. Completing business verification also matters in practice: as of October 2026, Meta’s documentation says new portfolios start with a cap of 250 unique customers messaged outside the service window per rolling 24 hours, and verification is one route to raising that cap to 2,000.
How much does WhatsApp messaging cost a sports venue?
Since 1 July 2025, Meta charges per delivered template message, replacing the older per-conversation model. Templates fall into three categories, and each has its own rate by country and volume tier. Marketing covers promotions, offers and win-back messages. Utility covers messages tied to something the customer did or asked for, such as a booking confirmation. Authentication covers one-time passcodes. Messages within an open customer service window are usually labelled service, and free-form replies there carry no Meta fee.
- Free: non-template replies while the 24-hour customer service window is open.
- Free: utility templates sent inside an open customer service window.
- Free for 72 hours: all messages after a customer reaches you from a Click to WhatsApp ad or a Facebook Page call to action on the mobile app.
- Charged: marketing, utility and authentication templates delivered outside those windows.
The 2026 change for Saudi venues
Meta’s pricing page lists a rate update effective 1 April 2026 that raised the marketing message rate for Saudi Arabia and introduced SAR as a billing currency. This guide does not quote per-message prices because they change by date, tier and currency. As of October 2026, check Meta’s official rate card before you budget a campaign.
For most venues the practical result is simple. Booking confirmations and reminders are inexpensive utility traffic, and many are free because the customer has just messaged you. Promotional broadcasts are the line item that grows, so send them to segments that are likely to act. Ask any provider to separate Meta’s fees from its own on the invoice.
What are the 24-hour window and opt-in rules?
When a customer messages your number, a 24-hour customer service window opens. Inside it you can reply freely, including with automated replies. Once it closes, you can only send approved templates. That is why reminders, renewal notices and offers must be written as templates in advance and approved by Meta, which assigns or confirms each template’s category.
- Collect opt-in before messaging. Meta requires that the person has given you their number and agreed to receive messages from your business, named clearly.
- Opt-in can be collected on your booking page, at sign-up, on a paper form at the desk or by other methods, as long as it meets Meta’s rules and local law.
- Meta recommends separate opt-in for each type of message, for example booking updates and promotions, which lowers the risk of customers blocking you.
- Honour every stop or opt-out request, on WhatsApp or anywhere else, and remove that person from your lists.
- Watch your quality rating. Meta can limit businesses whose quality stays low because of blocks and reports.
In Saudi Arabia, customer phone numbers are also personal data under the Personal Data Protection Law. Confirm your consent wording and retention practices with a qualified adviser.
Booking confirmations, reminders and broadcast etiquette by venue type
Confirmations and reminders do most of the daily work. A confirmation should state the venue, date, time, court or class, coach and amount paid. A reminder a few hours before the session, with the cancellation deadline, reduces no-shows and gives you time to release the spot to a waitlist. Keep these messages free of offers: Meta treats a template that mixes a booking update with a promotion as marketing.
- Send broadcasts only to people who opted in to promotions, and segment them by sport, class type, branch or last visit.
- Write one clear message with one action, such as a link to book a quiet slot.
- Respect quiet hours, prayer times and Ramadan schedules when timing sends.
- Write each template in Arabic and English and send the customer’s preferred language.
- Track blocks and opt-outs after each campaign and cut frequency if they rise.
| Venue type | Typical WhatsApp jobs | Usual template category |
|---|---|---|
| Padel and racket clubs | Court availability questions, booking and payment links, reminders before the match | Utility, plus marketing for off-peak offers |
| Pilates, yoga and lagree studios | Class confirmations, waitlist spot offers, pack expiry reminders | Utility |
| Gyms and fitness clubs | Membership renewal reminders with a payment link, PT session reminders, win-back messages | Utility for renewals, marketing for win-back |
| Sports academies | Parent payment links, session confirmations, schedule changes | Utility |
| Membership clubs | Renewal notices, event announcements, guest pass confirmations | Utility, plus marketing for events |
Checklist for going live with WhatsApp booking
Most problems at launch come from setup gaps rather than technology. Work through these steps with your provider before you announce the number to customers.
- Choose the number. Decide whether to move your existing number or use a new one, and confirm the process with your provider before you change anything.
- Complete business verification in Meta’s business tools and agree the display name customers will see.
- Write and submit templates in Arabic and English for confirmations, reminders, cancellations and renewals.
- Add opt-in wording to your booking page and sign-up forms, and decide how opt-outs are recorded.
- Connect payments through a licensed gateway and test a full booking, payment and refund in the chat.
- Set the assistant’s rules: what it may book, what it must hand over and who receives handovers by shift.
- Run a soft launch with staff and regulars for a week, then review missed questions and template wording.
How AskFlow handles WhatsApp booking
AskFlow runs on the official WhatsApp Business API. Confirmations, reminders, cancellations and package renewal notices go out automatically in Arabic or English, and over 100,000 WhatsApp messages have been delivered through the platform. Its AI concierge answers customer questions, checks live availability, books the slot and sends a payment link inside the chat, and it hands the conversation to your team when needed.
Payments go through licensed local gateways with mada, Apple Pay and cards. Membership renewals arrive with a payment link, and each location can message customers from its own WhatsApp number, with templates and inbox filtered by site.
Common questions
Can I take bookings with the free WhatsApp Business app?
Yes, by hand. Staff read each message, check the calendar and reply. That works for a small venue with low volume. Automatic confirmations, reminders, an assistant that books from your live schedule and a shared team inbox need the WhatsApp Business Platform, which your booking software or a messaging provider connects for you.
How much does a WhatsApp business message cost in Saudi Arabia?
Meta charges per delivered template message, with separate rates for marketing, utility and authentication by country and volume tier. Replies inside the 24-hour service window are free. From 1 April 2026, Meta raised the Saudi marketing rate and added SAR billing. As of October 2026, check Meta’s official rate card for current prices.
Are booking reminders marketing or utility messages?
A reminder about a booking the customer made, with no promotional content, normally fits Meta’s utility category, which covers messages that follow up on a user’s action or request. If you add an offer or upsell to the same template, Meta treats it as marketing. Meta makes the final category decision when it reviews each template.
Do customers need to opt in before I message them on WhatsApp?
Yes. WhatsApp’s policy says you may message people only if they gave you their number and agreed to receive messages from your business, named clearly. You can collect consent on your booking page, at sign-up or on a form at the desk. Meta recommends separate consent for booking updates and promotions, and every opt-out must be honoured.
Can a WhatsApp assistant take payment for a booking?
Yes, through a payment link. The assistant creates the booking, sends a secure link from a licensed payment gateway, and the customer pays by card, mada or Apple Pay on the gateway’s page. Once the payment succeeds, the booking system confirms the slot and sends the confirmation back into the same chat.
What happens when the AI assistant cannot answer a question?
It should hand the chat to a person. WhatsApp’s policy requires automated replies to offer a prompt, clear path to a human, such as an in-chat transfer, a phone number or email. Set up who receives handovers on each shift, and make sure staff can see the full conversation so the customer does not repeat themselves.
