How Flow runs a clinic
A clinic’s day is a puzzle of practitioners, rooms and appointment lengths. Flow keeps them on one calendar, so reception stops juggling a diary, a spreadsheet of packages and a phone full of reminders.
Appointments by service and practitioner
Clients pick a service, then a practitioner and a time that fits both the practitioner’s hours and a free room. One service can offer several options, such as a 30 or 60 minute session, each with its own price.
Rooms and practitioner calendars
Every room and practitioner sits on one appointment calendar, so a treatment room or a therapist cannot be booked twice. Move an appointment on the calendar and the client is told about the change.
Session packages and courses
Sell a course of sessions, such as ten treatments, with an expiry window. Each visit draws down the balance automatically. Fixed weekly slots can keep the same practitioner and time for the length of a course.
Questions at sign up
Ask the questions you need answered before a first visit and make them required. Answers sit on the client profile, and parents can add their children to one account and book for them.
Cancellation rules and reminders
Set your cancellation window and how late cancellations are handled. Confirmations and reminders go out on WhatsApp and email automatically, which is the simplest way to cut missed appointments.
Practitioner pay and reports
See appointments and revenue per practitioner, and set a pay rate per session so practitioner pay is worked out from the calendar instead of a spreadsheet.

Pay online or at the clinic
Clients pay by card or Apple Pay through licensed payment gateways when they book, or pay at the clinic if you allow it. Payouts arrive in your currency, in your business bank account.
Invoices and accounting
Every paid appointment, package and membership produces an invoice automatically and can sync to a supported accounting system, including tax e-invoicing where the law requires it.
WhatsApp in your clients’ language
